As your organisation grows, so does your data. User accounts are created, forms are submitted, quotations are issued, and claims are updated. Over time, information that was once useful can become outdated or unnecessary. That’s why Data Governance matters. It is about deciding what to keep, what to clear, and how to manage information responsibly so your system stays accurate, compliant, and secure.

At ReSure, we believe Data Governance works best when it is practical and client-led. You own your data. You decide how it is stored and used. Our role is to help you make those decisions easier to implement and maintain.

What do we mean by Data Governance (and Data Cleansing)?

Data Governance sets the rules for how your information is handled over time. Data Cleansing is one part of that: reviewing and removing data that is outdated, duplicated, or no longer needed. Together, they reduce risk, improve system performance, and support better decision-making.

ReSure doesn’t typically store highly sensitive personal or financial data like tax records or bank details. However, systems may hold essential operational data, which may include claims records, property and insurance values, COPE data, and risk assessments.  Even so, it deserves the same care and structure.

Good governance helps retain what is needed for underwriting, compliance, and day-to-day operations — and clear what is not.

Why start now?

The earlier you set clear, client-specific rules, the easier it is to keep your environment tidy and low-risk. Mature systems tend to accumulate clutter: inactive users that linger, old quotations that are never referenced, or records with personal details that no longer serve a purpose. Small, sensible rules prevent that build-up and reduce exposure over time.

A practical first step: user records

A great place to start is inactive user accounts. These often remain in the system long after staff have moved on.

Our recommended baseline is straightforward:  After five years of user deactivation, automatically anonymise selected personally identifiable fields — e.g., email, mobile, and phone.  This preserves audit trails and historical responsibility while removing unnecessary personal contact details.

Crucially, nothing is enforced without your say-so. We will confirm your preferences and tailor the approach to your organisation.

Beyond users: simple, defensible rules for other data

Once inactive users are in good shape, we can extend the same practical approach to other parts of your system — always on an opt-in, client-approved basis.

Typical areas include quotations, property/COPE and other data collection records, policies and protections, claims (particularly where long-tail considerations apply), risk management records, and backups.

These are examples only. Nothing changes unless you approve it, and rules can be trialled, narrowed, or updated over time to fit your organisation.
